This Privacy Policy explains how CoatQuote USA(“CoatQuote,” “we,” “us”) collects, uses, shares and protects information in connection with coatingbid.com and the CoatQuote applications (the “Service”).

2. Information we collect
- Account and organization. Name, email, password hash, company name, contact details, license number, brand colors, and logo.
- Business configuration. Your products, material costs, labor and overhead rates, coverage specs, prep price book, and target margins.
- Quote and job data. Square footage, slab conditions and flags, photos you capture in the field, generated proposals, and the customer name, address, phone and email you record for a job.
- Payment information. Only if you are on a paid plan. Handled by Stripe: we receive a customer identifier, subscription status, plan, and the last four digits and brand of your card. We never receive or store full card numbers. Beta accounts provide no payment method, so there is nothing of this kind to collect.
- Usage and device data. Pages viewed, actions taken, approximate location derived from IP, browser and device type.
- Diagnostics. Error reports and stack traces captured when something breaks.
- Communications. Messages you send us for support.
3. How we use it
- To provide the Service: build quotes, generate proposals, sync the field app, and store your price book.
- To authenticate you and keep accounts secure.
- To bill you and manage subscriptions, where you are on a paid plan.
- To send transactional email: proposals, password resets, receipts, and service notices.
- To diagnose errors, monitor performance, and improve the Service.
- To measure marketing and understand which channels bring contractors to us.
- To comply with law and enforce our Terms of Service.
We do not sell your personal information, and we do not use the customer data you enter to market to your customers.
4. Cookies, analytics and advertising
We use a small number of third-party tools that set cookies or similar identifiers:
- Essential cookies. Session and authentication. These cannot be turned off.
- Google Analytics 4. Aggregate usage measurement.
- Meta Pixel. Measures the effectiveness of our advertising and may allow Meta to show you CoatQuote ads. Events we send include page views, viewing the welcome page, starting checkout, and subscribing.
You can block cookies in your browser, use the Google Analytics opt-out browser add-on, and adjust ad personalization in your Meta account settings. Blocking non-essential cookies does not affect your ability to use the Service.
How we know where you came from. When you arrive at CoatQuote we record how you got here: the campaign details in the link you followed, and identifiers set by Google Analytics and the Meta advertising pixel. If you create an account, we store that alongside it so we can tell which marketing actually reaches coating contractors. We use it to measure our own advertising. We do not sell it and we do not share it beyond the analytics and advertising providers named above.
Email. We send you email about your account and your quotes. If you join a waiting list or ask for early access, we may also email you about CoatQuote itself. You can unsubscribe from that at any time, and doing so does not affect email about your account.
5. Who we share it with
We share information only with service providers that help us run the Service:
- Stripe. Payment processing and subscription management.
- Resend. Transactional email delivery.
- Sentry. Error monitoring.
- Google. Analytics.
- Meta. Advertising measurement.
- Hosting and infrastructure providers that store and serve the application.
We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets, in which case we will give notice before your information becomes subject to a different policy.
6. Retention
We keep your account and quote data for as long as your account is active. After termination you may export your data for 30 days, after which we may delete it. We keep billing records for as long as tax and accounting law requires, and diagnostic data for a limited period.
7. Security
We use encryption in transit, hashed credentials, scoped access controls that separate one organization’s data from another’s, and a payment processor that keeps card data out of our systems. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and to opt out of sale or sharing. We do not sell or share personal information as those terms are defined.
To exercise a right, email [email protected]. We will verify your request and respond within the time the law allows. We will not discriminate against you for exercising a right.
If your information was given to us by a contractor who uses CoatQuote, please contact that contractor first. They control that data. We will assist them in responding.
9. Children
The Service is for business use and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
10. International users
The Service is operated from the United States and information is processed there. If you access it from outside the U.S., you understand your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your country.
11. Changes
We may update this Policy. If a change is material we will give notice by email or in the app before it takes effect, and we will update the date at the top of this page.
